Temp Ohio case study

Temp Ohio to Focus on Core Business Needs and Growth

When the Florida-based capital funding company that carries Temp Ohio's receivables engaged the services of BusinessWare Services, Inc. (BWSI) in 1998, it took little time for the staffing firm to fully appreciate the benefits it would derive from a BWSI relationship. Business growth had created new demands and dynamics that required flexible, integrated solutions - an operational level that in-house billing and payroll systems could not attain without adding to head count.

"BWSI clearly introduced us to billing and other fabulous solutions that have helped us to grow while maintaining a low overhead," says Mary Bolin, one of Temp Ohio's principals. Among the many value-added solutions available to Temp Ohio from BWSI's well of integrated resources: payroll processing and tax filing services from ADP, the market leader for those services.

The BWSI-ADP arrangement, in fact, has helped Temp Ohio to effectively address the "C" word that most businesses dread - compliance.

In the relatively small geographical area in which Temp Ohio conducts its business, employers not only have to deal with federal and state tax requirements, but the separate filing jurisdictions of two cities and four school districts that have payroll taxes. However, Temp Ohio's compliance obligations were nothing extraordinary for ADP, which routinely deals with nearly 1,000 separate tax jurisdictions throughout the country.

Bolin observes, "BWSI opened the door to some excellent business solutions for us - solutions that we thought were only available to larger employers in the industry."

The Benefits of BWSI

In 1998, as Temp Ohio was ramping up its roster of temporary employees, it was also fast-approaching a decision: hire expensive additional staff or find another way to accommodate projected business growth. That "other way" was BWSI.

"They assured us they knew the needs of our business and their TempWizard software certainly helped to prove that out," reflects Bolin. "We use that single software tool for just about everything - to input client billing, for labor tracking purposes and payroll and payroll tax filing."

BWSI's TempWizard intuitive staffing industry software has actually shaped a paradigm change for staffing companies. A single flow of input distributes data for multiple purposes: a variety of invoicing options and payment postings, user friendly search and placement capability and the Internet-driven framework for integrated front-and-back office operations.

Ease of use makes TempWizard especially popular. In a short period of time, everyone on Temp Ohio's small office staff had learned how to use the tool.

Incremental Benefits from ADP

ADP's value to Temp Ohio resides in the timely and accurate management of payroll and tax filing. "With ADP, payroll and tax-related compliance is a very easy process for us," Bolin explains.

Payroll information is generated from temp employees' hours-worked information, mainly recorded on handwritten timesheets or by time clock punches. Pay data that's keyed into BWSI's Web-based system passes straight through to ADP in a seamless fashion.

In turn, ADP processes Temp Ohio's weekly payroll, makes the appropriate payroll filings on Temp Ohio's behalf and sends paychecks to the staffing firm ready for distribution.

At Temp Ohio's largest client, an auto parts manufacturing plant, Temp Ohio also has an arrangement to utilize ADP's Enterprise eTIMEā„¢ time and labor management solution, the plant owner's preferred time collection tool. Enterprise eTIME assures a reliable and efficient interface with a variety of time collection methods. Each pay period, Temp Ohio assimilates information gathered via Enterprise eTIME into the TempWizard solution, to produce an accurate payroll and just as accurate client invoicing.

As for compliance, if it had been a concern before BWSI and ADP entered the picture for Temp Ohio, today any such concern is nonexistent. "They are very good at staying on top of compliance matters, so it's not an issue for us," Bolin acknowledges.

The Return on Investment - Lower Overhead

For Temp Ohio, utilizing BWSI - and ADP through BWSI - enables the staffing company to do more without nearing the flash point of adding to administrative head count.

"With BWSI and ADP doing what they do for us, we simply don't have to hire more employees to handle administration," says Bolin. "In real numbers, without BWSI's services we'd need at least one more employee, maybe two, to do the client invoicing. Without ADP doing payroll and tax filing, I'd say we'd have to add another full-time hire to manage those areas. That's a very large addition to overhead for a small business that only has half a dozen employees to begin with."

Consider BWSI and ADP

Today, one of the largest avoidable costs for a staffing company is administrative overhead. Integrated solutions from BWSI - including pass-through, seamless solutions from value-added partners like ADP - enable companies like Temp Ohio to engage the future with cost-effectiveness and flexibility on their side.

As Bolin puts it, "BWSI and ADP are the 'back office' for Temp Ohio. They perform tasks that we need to do but no longer have to do ourselves. One of the biggest benefits we receive from using the services of these two great solution providers is that they're always on the job for us, but they're never on our payroll."
